Job Description

To lead and manage the Office Administration (OA) team to ensure the various AIC offices at HQ (MND building, Maxwell Road) and Satellite Offices (island-wide) are well maintained and equipped with the office supplies and equipment.   

Facilities Management 

  • Manage the portfolio of leased offices covering about 8,000 sqm made up from 30 office units 
  • Oversee the provision of common office maintenance services
  • Responsible for lease renewal and where necessary, source for new locations and determine its suitability
  • When renovation is required, convert user needs into detailed requirements to facilitate public tender
  • Manage renovation projections, coordinate with contractors and proper utilisation of approved budget
  • Able to work on weekends when required to supervise on the renovation and maintenance works, if required  
 Administration Management
  • Formulate and maintain the office space allocation. Work closely with stakeholders to ensure the office spaces are prepared ahead in support of Company’s manpower growth
  • Forecast annual budget requirements and manage expenditures
  • Streamline archaic work processes to reap greater efficiencies and effectiveness
  • Draft submissions for approval and open tender
  • Ensure timely payment and proper documentation for audit purposes

Contract Management

  • Identify common services for centralised contract management to enjoy economies of scale
  • Manage existing contracts, contract renewal and payment

Job Requirements

  • Degree in any discipline with minimum 10 years of relevant managerial experience with proven track record in office renovation and/or facilities management
  • Possess strong organizational skills and effective project management skills
  • Possess good written and verbal communication skills and presentation skills
  • Able to multi-task and deal with tight timelines
  • Qualified Quantity Surveyor credentials will be added advantage
