Job Description

You will be part of the Office Admin team to oversee the renovation of the various Offices around Singapore.  

Renovation Project management

  • Manage renovation projects with schedule planning and site supervision  
  • Work with contractors to achieve within scheduled timeline and cost, and achieve desired quality
  • Conduct regular site meetings and inspections to monitor progress and ensure timely completion and quality assurance
  • Liaise with contractors and authorities to ensure all necessary approvals are obtained on time
  • Update Management on the progress, revised quotations and schedule planning
  • Coordinate the key activities to facilitate smooth execution of renovation projects        
  • Assist in the supervision of weekend works as and when necessary 
  • Attend sites survey, pre-con survey, site and handover inspection

Facilities and vendor management

  • Co-ordinate with vendors to maintain office environment and take predictive measures to minimise equipment or system breakdown, etc 
  • Oversee and coordinate all facilities and maintenance issues from execution to completion
  • Liaise with building management concerning the premises maintenance, safety and security, etc 
  • Manage office safety and security 
  • Conduct periodic inspection on all office facilities to ensure all are in operational condition

Administrative duties 

  • Perform the necessary procurement for the desired product and services, adhering to AIC Finance procurement guidelines 
  • Organise site recce and project meetings and able to record key decisions for dissemination and follow up

Job Requirements

  • Degree with minimum 5 years of experience in office renovations and facilities management related environment
  • Possess strong writing skills to secure budget and translate user needs into detailed user specifications as part of tender submissions 
  • PC literate and proficient in MS Office Suite and relevant office layout planning software e.g. autocad 
  • Team player and possess good interpersonal, communication and organizational skill 
  • Able to multi-task and deal with tight timelines
