Job Description

  • Provide administrative and secretarial support for the division
  • Organise, review and maintain administrative guidelines
  • Assist in knowledge management system which include collation of information, preparation of reports, develop procedures and set up of database for easy retrieval of information
  • Monitor and track grant claims from projects
  • Coordinate meetings with external partners
  • Schedule and collate agenda items for meetings
  • Assist in minutes taking and preparation of presentation slides for meetings
  • Maintain proper filing of correspondence and records
  • Handle travel and hotel accommodation arrangement, and process claims

Job Requirements

  • Diploma or secretarial certificate
  • Minimum 5 years of working experience of which at least 3 years in administration or secretarial position
  • Possess excellent active listening and communication skills
  • Possess good organisation capabilities with a meticulous eye for details
  • Possess good interpersonal and communication skills with a pleasant personality
  • Able to multi-task and work independently in a fast-paced environment
